About the role

The Senior Executive Personal Assistant provides high-level support to the Board Members, ensuring seamless management of schedules, communications, and strategic initiatives. This role requires discretion, proactivity, and excellent organizational skills to enable the Board Members to focus on driving business priorities.

How you will get the job done

  • managing and maintaining schedules, including organizing meetings, appointments, and conferences
  • screening and prioritizing communications (emails, calls, memos) to ensure important issues are addressed promptly
  • taking meeting minutes, tracking action items, and following up on deliverables to ensure objectives are met
  • preparing presentations and materials by gathering, analyzing, and updating data/information, while addressing discrepancies as needed
  • welcoming and coordinating visits for Management Board guests
  • arranging and coordinating business travel, including visas, itineraries, accommodations, and expense reconciliation
  • supporting with HR, financial, and operational processes as required, including processing invoices and purchase orders in systems
  • organizing and coordinating board events, or conferences
  • collaborating closely with the CEO Office and other senior executives to align on strategic initiatives, internal communications, and key priorities
  • maintaining confidentiality and exercise sound judgment on sensitive corporate matters

Skills and experience you will need

  • proficiency in English (written and spoken)
  • minimum 5 years of experience providing high-level executive support to Board Members or C-level executives in a complex, corporate or international environment
  • university degree
  • excellent organizational and prioritization skills with the ability to manage highly dynamic schedules and competing demands at executive level
  • highest standards of professionalism when handling confidential and sensitive matters
  • proactive, well-organized, and solution-oriented approach
  • experience in calendar management, meeting coordination, and business travel arrangements
  • strong analytical skills and attention to detail in preparing executive-level presentations, reports, and briefing materials
  • proficiency in MS Office (Outlook, Word, PowerPoint, Excel)
